Time tracking templates are a method that helps you achieve all the benefits listed above. However, this method isn’t the best because it is time-consuming and it isn’t 100% accurate (we’ll explain to you why).
When it comes to time tracking templates, there are a few things to keep in mind. First, make sure that the template you choose is easy to use and understand. There should be no confusion about how to input data or interpret results.

This is your template if you’re looking for a free method to track time weekly.
If you’re going to use the Google Sheets or Microsoft Excel versions, we have good news for you: some formulas will help you a lot!
On the other hand, the PDF version doesn’t allow this kind of solution. But, the minimalist design is going to be very useful.
How to use the weekly time tracking sheet?
Start by replacing the hourly rate. If you need to change it, please keep this format. Otherwise, you may “break” the formulas.
Next, you just have to fill the columns C, D, F, and G with the hours you start and stop working.
Note: To keep the formulas working, you should fill the hours according to the following format: XX: YY ; example: 01:15 am
The column I is to take notes about Paid Time Off. The column J automatically calculates the Regular Hours of the day. The column L, you just need to insert the number of Overtime Hours according to the previous format (XX:YY). The Daily Total Work Hours (column M) is calculated automatically.
The Weekly Totals and the Total Pay are also calculated through formulas. So, you don’t need to worry about these values.
TIP: If you want to change the hourly rate only for “Overtime Hours”, you have two hypotheses: 1) Total Overtime Hours (K20) or 2) Total Work Hours (M20). You can’t edit both formulas. Otherwise, the final values will be wrong.
Example: Imagine you want to double the hourly rate of “Overtime Hours”. As we explained, you have two solutions:
- Current K20 formula “=K19*I5*24”; if you double the Hourly Rate of Overtime Hours “=K19*I5*2*24”
- Current M20 formula “=((I5*J19)+(I5*K19))*24”; if you double the Hourly Rate of Overtime Hours “=((I5*J19)+(I5*2*K19))*24”
You can use one of these methods. But, pick one and use only one. Otherwise, the maths are going to be wrong.
Monthly time tracking sheet template

This template is similar to the weekly time tracking sheet template. So, for those who want to use Google Sheets or Microsoft Excel versions, your life will be much easier because there are formulas.
You won’t benefit from formulas if you want a printable time tracking sheet. But, you’ll have a clean user-friendly solution.
How to use the monthly time tracker template?
As we said, this template is similar to the previous one. So, if you have any questions about filling out the template, please see the instructions above.
The difference is when you want to change the monthly totals for overtime hours. As we’ve seen, there are two solutions: 1) Total Overtime Hours (K44) or 2) Total Work Hours (M44).
You can’t edit both formulas. Otherwise, the final values will be wrong.
Example: Imagine that you want to pay 3x for overtime hours. You can do it by choosing one of the following solutions:
- Current K44 formula “=K43*I5*24”; if you want to pay 3x the Hourly Rate of Overtime Hours “=K43*I5*3*24”
- Current M44 formula “=((I5*J43)+(I5*K43))*24”; if you to pay the Hourly Rate of Overtime Hours “=((I5*J43)+(I5*3*K43))*24”
You can only use one of these formulas. Otherwise, the maths are going to be wrong.
Freelancer time tracking template

How to use the free time tracker template for freelancers?
In column B, you just need to fill in the day of the month that you worked for that client.
In column C, you just need to insert your client’s name. If you do this, you’ll need to change the formulas (we’ll explain how to do it).
In column D, you just need to insert the name of the activity.
In columns E and F, you have to fill in the hours you started and stopped working for your client. When filling, make sure you’re following the pattern: XX:YY ; example: 13:00
Column H is calculated automatically. So, you don’t need to do anything here.
After filling the table, on the right you have 4 small tables with the names of your clients: Client A, Client B, Client C, and Client D.
The total billable hours are calculated automatically. The hourly rate needs to be inserted for you. And, the total pay is also calculated automatically according to the hours you’ve worked and the hourly rate.
How to change the client’s name?
There is a quick and easy way to do it and only takes a minute.
1) Example: Change the name “Client B” to “Client J”
If you’re using a Windows computer press “Ctrl + F”, if you’re using a Mac just press “CMD + F” and a small pop-up will come. Then, press the three small dots.
- “Find” just write “Client B”.
- “Replace” just write “Client J”.
- “Search” select “This sheet”
- Select the option “Also search within formulas”
- Press replace All

This template is quite similar to the freelancer time tracking template. But, in this sheet, we’re tracking projects and not clients.
So, column B is to be filled with the day you work on the project, column C is the project name and column D is to write the activity.
On columns E and F, you’ll note the hours when you start and stop working. Please, to keep the file working perfectly, make sure you follow the format XX:YY ; example: 2:55 pm.
As usual, the Billable hours’ column (G) is calculated automatically.
On the right side, you also have 4 small tables with the name of the projects. This allows you to see how many hours you’ve spent in each one, change the hourly rate and see the total pay.
